Governance Administrator

 

 Facilitates the smooth and efficient administration of Council and Committee functions (Executive Committee, Nominating Committee, Conduct Committee, and Governance Committee).  Supports the administration of processes including election of members to Council and Committee appointments and provides administrative support to various Council and Committee-related activities.

 

KEY RESPONSIBILITIES

  • Provides meeting management support to Council and Committee activities by scheduling meetings and arranging logistical requirements; preparing meeting agendas and distributing materials; preparing speaking notes for the Executive Director & CEO/Registrar and Council President; attending committee meetings; and recording and distributing dispositions and minutes to reflect discussions and decisions within established timelines.  Supports the drafting of Council and Committee reports.
  • Provides administrative support including but not limited to responding to general inquiries from candidates, applicants, and appointees; updating databases; preparing general correspondence, memos, reports; provides input to the annual budget based on previous year’s expenses; monitors expenditures and identifies variances; reviews and submits approved expense reimbursement claims and submits to Finance for processing.
  • Participates in the development and presentation of orientation sessions of newly elected members and Committee appointees; provides input on specific learning needs of Committee members, officers, and chairs; arranges professional development sessions/workshops.
  • Supports the Nominating Committee, Council election and Committee appointment processes ensuring adherence to by-law and legislative requirements including providing administrative support to third party vendors, public appointment process in collaboration with the Office of the Public Appointment Secretariat and board evaluation of Council.

 

REQUIRED QUALIFICATIONS 

 

 

Education and Experience 

  • Completion of post-secondary education.
  • Three years of related work experience in managing or coordinating Board and Committee-related activities.
  • Knowledge of the regulatory environment and the role of statutory committees.

Job Competencies, Knowledge, Skills

 

Planning and Organizing: applies knowledge of the College of Nurses of Ontario (CNO) and governance best practices when coordinating operational support through the preparation of necessary documents and scheduling meetings, as required, and with consideration to timeframes, to ensure completeness of work; uses effective time management skills to prioritize and monitor work for various activities, balances conflicting demands and timelines.

Attention to detail: requires close attention to detail to check own work and the work of others, as needed, for quality and accuracy when supporting the work of Council and Committees, coordinating the annual work for governance initiatives, and preparation for Council and Committee meetings; and updating databases.  Develops methods for organizing and tracking information or tasks.

Client Focus:  anticipates Council and Committee members’ needs and identifies ways to meet them, following up to confirm if needs have been addressed. Maintains professional interactions with clients while exercising tact and diplomacy.

Communication: effectively uses a variety of tools and formats to share information while considering confidentiality; uses knowledge of the regulatory environment, CNO mandate, Council and Committees to adapt content and tailor messages for audience; and follows up with clarifying questions to ensure message was understood.

• Adaptability: demonstrates flexibility by responding to everyday changes such as assisting in the set-up of new practices or expressing an openness to change ideas when faced with new information.

Demonstrated: proficiency in technology such as Microsoft Office, Acrobat Pro, Microsoft Dynamics CRM (Pulse), Nasdaq Boardvantage, and collaborative tools, such as SharePoint, Zoom, OneDrive, MS Teams.

 

Hiring Range:            $77,108 - $81,939

Full Salary Range:     $77,108 - $92,529
