Queen’s University has launched the Renew Program, a multi-year university-wide initiative aimed at enhancing the effectiveness of Queen’s professional services in supporting the academic mission. This initiative includes equipping and supporting professional services staff with the necessary tools, systems, and processes. The Renew Program Office collaborates closely with leaders and professional service teams to implement positive changes in service delivery, fostering an environment that aligns with the university’s academic goals.
Queen’s is seeking a skilled Program Coordinator to serve as a key team member of the newly established Renew Program Office. Reporting to the Executive Director, the incumbent provides administrative and coordination support for the program team. Main responsibilities include planning and coordinating program activities, serving as the main point of contact for inquiries, developing and maintaining administrative systems and handling routine financial transactions. The role will include liaising with colleagues across the university.
KEY RESPONSIBILITIES:
- Provide senior level administrative and coordination support to the Executive Director and program team in support of multiple Renew program initiatives.
- Plan and coordinate the logistics for project team activities and meetings, workshops, presentations, committee meetings and events. This includes scheduling, developing agendas, creating or coordinating supporting documents and tracking and actioning follow up items.
- Serve as the primary contact for general enquiries, using judgement to respond, research or collect pertinent information to refer complex enquiries to other Renew Program team members. Triage, craft and manage responses for the general email account. Update the website with emerging announcements and resources.
- Establish and maintain an electronic record keeping and tracking system for the Renew office and initiatives, staying up to date on new technology to implement improvements. Serve as the Department IT representative.
- Perform routine financial transactions and basic account reconciliation as well as process payments and make purchases when required, collecting and organizing information for future reference. Works with Financial Services and other units across campus to help resolve discrepancies. Prepare, monitor and administer multi-initiative project budgets working closely with the Executive Director.
- Promotes a culture of inclusion, with a commitment to the university’s equity, diversity, inclusion and Indigenization initiatives designed to foster an inclusive, supportive, and welcoming work environment for individuals with diverse backgrounds and identities.
- Support other activities as assigned as a member of the Renew Program team.
REQUIRED QUALIFICATIONS:
- Four-year bachelor’s degree or equivalent.
- Several years of experience providing senior administrative support for multiple units or individuals in a team environment, including coordinating a high volume of engagements or managing complex schedules.
- Experience managing the bookkeeping and budget management support for a department, business or annual event.
- Ability to work on campus at least three days per week with the flexibility to work attend more frequently where needed due to operational requirements.
- Extensive knowledge of senior level office practices, university structure, policies, procedures, and administrative systems, is an asset.
- Consideration will be given to an equivalent combination of education and experience.
